Do I need to already have a venue booked?
No — we can work with you before or after venue selection. Many clients come to us in early planning stages. We'll build your timeline around your target dates and adjust as the venue is confirmed.
How far in advance should I hire you?
Ideally 10–14 weeks before your event date. This gives enough runway to approach sponsors properly and fill registration. We've worked with clients as close as 6 weeks out — it's tighter, but doable with the right structure.
Is this for charity events or corporate events?
Both. The system we build adapts to your purpose — charity scrambles, corporate outings, club championships, and member-guest events all follow the same underlying structure. We just adjust the messaging and sponsorship framing to match your audience.
What if I've never run a tournament before?
This service was specifically designed for first-time organizers. The strategy call is your onboarding — we'll explain every piece and make sure you feel confident executing. Most of our clients have no prior tournament experience.
Can you run the event for us on event day?
The Done-For-You Setup Service covers planning and systems — not day-of staffing. However, the event-day run sheet and volunteer coordination system we build means your team can execute with confidence. On-site consulting is available as an add-on at an additional rate.
What's the payment structure?
50% due to reserve your spot and kick off the strategy call. The remaining 50% is due on delivery of your completed system. We accept credit card, ACH, and check.
